Scheduling a Visit

How can I bring 2020 On-site to my office?

We would love to come visit your office and bring high-quality eye exams to your employees! Complete this form to request a visit, and a member of our Employee Wellness team will reach out to you.

Who coordinates the visit? Who will I work with?

You will have a dedicated Client Success team member who will be your go-to person for all things related to this visit and future visits. They will handle marketing, employee sign-ups, and visit logistics for you.

How much time is required to set up visits?

We usually begin planning a visit eight weeks in advance of the selected visit date. Planning and executing a visit only takes a couple of hours of your team’s time; we’ll handle the rest!

How often do you come on-site?

Our standard cadence is every 200 employees equals one visit. If we find that there is more demand, our Client Success team will work with you to make sure we are meeting that demand.

What if we need to cancel our visit?

Our cancellation policy is as follows: if cancellation occurs anytime before six weeks prior to the visit, there is no charge. If you cancel within 6 weeks prior to the visit, there is a $1,500 cancellation fee.

Will you be marketing to my employees directly?

We will provide your team with all of the marketing materials necessary to promote your visit successfully. Our Client Success team will create email campaigns, digital signage, and printable poster designs; we can also customize our standard materials to meet your organization’s unique internal communications platforms. We will only send marketing campaigns to your employees directly if they have explicitly signed up to receive marketing materials from us. We will send employees information about their upcoming appointments after they have booked a time, or to remind them when it is time for their annual eye exam.

Is there a minimum number of employees required to bring 2020 On-site to my office?

Typically our minimum is 25 patients a day, and there is a $125 fee per patient below this. However, if you don't think you can meet this minimum, please reach out to us at sales@2020onsite.com and we will develop a customized plan for you. 

Day-of-Visit Logistics

Who will be on-site the day of our visit?

On the day-of, our mobile clinic is staffed with a licensed optometrist, a store manager, and an associate store manager. Your Client Success team member will send you the names of exactly who is going on-site a week prior to the visit.

Who secures parking permits?

Our Client Success team will secure parking permits. They will discuss with you where the best place to park will be.

What if there are weather issues?

If the weather conditions are poor, our team will proactively contact you to discuss what the best plan of action will be. If we are unable to make it due to weather, our team will contact you (as well as the employees signed up) to reschedule. There would, of course, be no charge for this cancellation.

Patient Scheduling

How do employees sign-up for appointments?

Employees can sign up for appointments online at our booking website booking.2020onsite.com. Your Client Success team member will create a custom landing page for your organization with details about your location and benefits. This landing page will direct employees to sign up for an appointment. It only takes a few minutes to sign up, and employees will receive confirmation and reminder emails prior to their eye exam. 

We do recommend booking in advance, as appointments fill up quickly! If an employee cannot find an available time, they can opt to be added to the waitlist for a specific date. If a time slot becomes available, they’ll receive a notification to book an appointment.

Employees do not need appointments to use their benefits to order new glasses, contact lenses, or safety eyewear, as long as they have a valid prescription.

What if an employee needs to cancel or reschedule?

Employees can cancel or reschedule their appointments through our online booking system, or through the links in their appointment confirmation emails. Cancellations within 24 hours of an appointment and no-shows will incur a $25 late cancellation fee. Same-day rescheduling will not incur a charge.


How long are appointments?

Eye exam appointments are 15 minutes long. Employees should plan to spend 30 minutes with us to allow plenty of time for check-in, pre-testing, the eye exam, and check-out.

Do you take care of all vision needs?

We take care of refractive and preventative needs, making it a comprehensive eye exam. Any other issues would have to be referred to an ophthalmologist.

Are your doctors Ophthalmologists?

Our doctors are licensed optometrists, not ophthalmologists. Optometrists are doctors who will focus on a patient's eye health and visual acuity. Serious eye health issues may require further investigation by an ophthalmologist. If our doctors identify the need for a referral, we can refer patients to an ophthalmologist in their local area who accepts their insurance plan.

How can I ensure that 2020 On-site is providing high-quality vision care?

Our doctors are experienced, licensed optometrists, and our mobile vision centers are sleek, modern, and outfitted with state-of-the art technology. This is not your typical doctor’s office! Each mobile vision center has been thoughtfully designed so we can give customers a high-quality experience in an extremely optimized space.

On-board, we have the latest in ophthalmic equipment. Pre-testing equipment includes a tonometer, which checks for glaucoma and other diseases, as well as measures a baseline prescription for the doctor. We also offer HD retinal screening, where we take a picture of the back of the eye (this typically takes the place of dilation). This is typically an $80 - $110 value, but we offer it for free.

Can a patient take their records with them following their appointment?

We don’t have any paper records onboard as we are fully digital, but a patient email our Customer Experience team to get their records (info@2020onsite.com).

How do you protect our employee's privacy?

2020 On-site is focused on maintaining your employees’ privacy. We are HIPAA compliant and maintain a high level of security for non-PHI customer data.

How much does it cost to bring 2020 On-site to my office?

How much does an exam cost my employees?

Employees can use their medical and vision insurance benefits to cover the cost of their exam. They may have a copay based on their insurance plan (usually $25 or less) for a comprehensive eye exam. 

If employees do not have eye exam coverage included in their medical or vision plans, they can still have an eye exam and pay our low out-of-pocket rate of $70.


Are you in-network with our medical and vision insurance?

2020 On-site is in-network with most medical and vision insurances. Please reach out to your Sales or Client Success team member for specific details about our current in-network status.

If we are not in-network with your insurance provider, 2020 On-site will create an experience for your employees that mimics their in-network benefits. We will match your exam copays and submit for reimbursement on your behalf. We take care of the paperwork so you don’t have to!


Do you accept FSA/HSA cards?

Yes, we accept payments via FSA/HSA cards for all prescription eyewear purchases (including prescription sunglasses) and eye exams, as long as the FSA or HSA is affiliated with a major credit card.

Does 2020 On-site have liability insurance?

Yes, 2020 On-site has liability insurance. Please reach out to your Sales team member or sales@2020onsite.com with specific questions about our coverage, or if you would require a COI for a visit to your site.

Prescription & Follow-Ups

How do employees get their prescriptions?

Employees will receive their prescription via email by the end of the next business day following their appointment. If they don’t receive it, make sure they check their spam folder; if it’s not there, send us an email and we’ll get it to your employee as soon as possible (info@2020onsite.com).

How do our employees get follow-up care?

Employees can always receive follow-up care with 2020 On-site at our next visit, or at a visit nearby. If we detect something during an employee’s exam that requires follow-up from an ophthalmologist, we will refer them to one of our ophthalmic referral partners for additional care (one who accepts their insurance coverage). If any employee needs an adjustment or modification to their glasses, they can come back to us, or visit any local optical shop; adjustments are usually done for free as a courtesy.


How do employees get their glasses?

Employees can pick out frames from our broad selection of styles after their eye exams. Once they’ve been manufactured at our lab, we have them shipped directly to employees at home or at work. In most instances, employees can expect to receive their glasses within seven to ten business days.

How much are glasses?

It varies greatly based on the patient’s prescription, and the frame and lens selected.  In addition, vision plans vary dramatically from client to client. We will provide a price card that provides exact product prices based your plan.  On average, for those using their vision insurance, the out-of-pocket cost for a pair of eyeglasses is $150.

Can employees get contact lenses?

Yes. Employees who already wear contact lenses can have a contact lens evaluation and prescription renewal with us. Most insurance plans will charge an extra copay of $39 for this evaluation. Employees can also use their insurance benefits to order contact lenses from us. We will ship contact lenses directly to employees at home or at work, and they can expect to receive their contacts within three to five business days. 

Please note, we do not do first-time contact lens evaluations and fittings in our mobile vision centers at this time. We do not fit new wearers because it often takes multiple appointments to find the right brand.
